How to do an IEP
This page contains all of the steps you need to take in order to complete an IEP for a selected student using EasyIEPTM. It is a complete guide as to how to enter the necessary information needed to fulfill all database fields used by the EasyIEP program. It isin text form with minimal graphics.
If you would like to have a hard copy to access as a "user guide",this document can be printed for your personal needs using the print functionon your Browser.
You may start at the beginning of the document and work your way (step-by-step) through an entire IEP. You may also access any section of the IEPfor specific help on a specific section. To access a section, clickon the link for the section found in the Table of Contents. You can return to the Table of Contents by clicking the Return to Tableof Contents link at the end of each section.
Below the Table of Contents is a list of links to individual How To... Help pages with full graphics and text. These pages will have the section graphics added. Most fields will have an asterisk or a questionmark beside them. You may click once on these symbols to access thehelp for that field. All fields with an asterisk ( * ) to the rightMUST HAVE INFORMATION ENTERED before the data can be entered into the EasyIEPTM database. All fields with a questionmark ( ? ) to the right do not require information to be entered at thistime, and, can be edited or updated at any time.
Accessing the Students Area
To add information for a selected student or students, you must access the Students area. This area will appear after you click once on the Students Button on the Main Menu Bar. The Main Menu Bar will be at the top of the Main Page after you log-in. The words "Main Menu" will be darkened to distinguish it.
NOTE: If you have been working in another area of EasyIEP TM(i.e. Schools, School System, Users), and the Main Menu Bar is notat the top of the browser page, click once on the Main Menu Buttonof the existing menu bar at the top of the browser page. This willtake you to the Main Page. The Main Menu Bar will be at thetop. Click once on the Students Button to access the Students area.
Criteria for Selecting Students
Click on the Students Button of the Main Menu Bar to goto the Criteria for Selecting Students to View Page. The number ofstudents in the list will depend upon the User's selection of criteria.User's may select Grade Level, School, Student Last name, or Student IDNumber.
Generally, Teachers see only the students that are assigned to them.
School System Administrators can see every student in the entire School System. Thus, an Administrator's list could be very long.
After selecting Criteria to Select from, Click on View Students Button. You will be taken to Select a Student Page. To go to aparticular student, click on the student's name. This will transfer youto the student's Personal Information Page.

The Students Menu Bar will be at the top of the browser page. Under it will be a chart with the names of your students inside.
Click once on the Personal Button.
Click once on the student's name whose data you wish to enter. The student's Personal Information Page will appear.
Unless you have visited this page at an earlier time, there will beno data entered in the fields.

Adding Parent/GuardianInformation
Click once on the Parents Button.
You will be taken to the Parent(s)/Guardian(s) Page.
NOTE: The Add new parent/guardian Page also allows for the addition and tracking of other responsible, affiliated adults thatmay be outside of the immediate family, and, should be a part of theIEP Team. The Relationship Dropdown Box has the list ofentries from which to choose. Therapists, Counselors, Other Relatives, Doctors, etc. may be added as significant others needed by the selectedstudent as part of the IEP process.

Adding Eligibility Information
The Referral Date is the date the selected student has been referred to the Child Study Team (or other appropriate team).
The Eligibility Date is the date the decision for eligibility was made.
The Eligibility Date is used by EasyIEPTM to track the eligibility of the students, and, to allow the notificationof deadlines in the IEP compliance process.
Evaluation Components used in the eligibility process are collected from the list used by the School System. Other components can beadded or deleted as needed by School System administrators.

NOTE: It is important to remember that other members of the IEP Teamcan be designated by entering their information on the Add Parents Page. Look in the "Relationship" dropdown box on the Add Parents Pageto make the selection for Doctor, Therapist, or other significant person.
Be sure to select the checkbox "Include on IEP Team" (found on theAdd Parents Page).
Parent Information should be completed before selection of the IEPTeam Members. If other members of the IEP Team must be added, it will bedone in this area.

Adding Assessment Information from an Existing List
Assessment Information relates to the testing instruments used to determine the placement, condition and/or progress of a selected student. Assessments can be entered from an existing list provided by the School System orcustomized to meet the student's specific needs.

Narrative Information is the data that has been collected from observations, assessments and/or performance of the selected student. They areessential to the tracking and understanding of the student's progress inthe areas of goals, objectives, behavior and ability.

When you enter the Annual Goals Page for the first time for the selected student, no annual goals will be assigned. You will havethe choice of adding an annual goal from a predetermined list or creatinga customized annual goal.

Adding Objectives to Annual Goals from Existing Lists
On the Annual Goals Page, find the Annual Goal where youwant to add objectives.
Click once on the Details Button. It is a link that will takeyou to the Objectives Page.On the Objectives Page, you will be able to add objectives for theselected annual goal.

Adding Custom Objectives to Annual Goals
If you are already in the Goals & Objectives section of the Students area, look in the chart and find the Annual Goal where you wantto add objectives.
Click once on the Details Button. It is a link that will takeyou to the Objectives Page.
On the Objectives Page, you will be able to add Custom Objectives for theselected annual goal.

Editing ParticipationInformation (recommended as the first step)
This section describes how to edit participations for the aspectsof standardized assessments the student will participate in.

The Special Education and Related Services area allows the user to add classes, extra-curricular activities, and special education services(tutoring, therapy, etc.) either from a list or Custom Services forthe selected student.

Transition Services are those assisting services, agencies, and specialty groups that should be enlisted to help guarantee the successful transition of the Special Education student into a post-secondary life. Theymay be selected from an existing list or customized to fit their specificneeds.

EasyIEPTM uses your School System data andthe student data teachers enter to Generate (Final) IEPs, letters, IEP Amendments, and the IEP Report Card. Each piece of data is placed on the letter or report in the order, font, and size that was determined by your School System. Therefore, you only need to enter information once for itto appear on many letters and reports.
